Overview

Website-owned collections belong to your group website, not to any individual artist. They are the primary way you organise and present artwork from across your membership.

Creating a Collection

1. Go to Collections in the admin dashboard.
2. Click New Collection.
3. Enter a name for the collection (e.g., "Summer Exhibition 2026" or "Works on Paper").
4. Optionally add a description.
5. Click Create.

The collection is now ready to receive artwork.

Setting Submission Policies per Collection

Each collection can have its own submission policy, independent of your website-wide defaults:

• Closed: Only admins can add artwork to this collection.
• Open: Members can submit artwork directly to this collection, and it goes live automatically.
• Juried: Members can submit to this collection, but artwork waits for admin review.

To change a collection's policy, open the collection settings and adjust the Submission Policy option.

Adding Artwork to a Collection

There are two ways artwork ends up in a website-owned collection:

• Through submissions: When you accept a submission, you choose which collection it goes into.
• Manually: Open the collection, click Add Artwork, and select from the available artwork pool.

Reordering Artwork

You control the display order of artwork within each collection:

1. Open the collection from Collections.
2. Drag artwork thumbnails into the desired order.
3. The new order saves automatically.

Featuring Artwork

Each collection can have a cover image that represents it in listings and on the gallery index page.

1. Open the collection.
2. Hover over the artwork you want as the cover.
3. Click the Set as Cover option.

The cover image appears wherever the collection is shown in summary form. If you do not set one, the first artwork in the collection is used.

Renaming and Deleting Collections

To rename a collection, open its settings and update the name. To delete a collection, open its settings and click Delete Collection. Deleting a collection does not delete the artwork. It only removes the grouping. The artwork remains available for other collections.
