How Submissions Work

Overview

Submissions are the pathway for artwork to appear on your group website. Artists submit their work, and depending on your settings, it either goes live automatically or waits for your review.

The Submission Workflow

The basic flow works like this:

  1. An artist uploads artwork and submits it to your group website.
  2. The artwork enters the submission pool.
  3. Based on your submission policy, one of two things happens:
    • Auto-accept: The artwork goes live on the website immediately.
    • Juried: The artwork waits for an admin to review and accept or reject it.
  4. Accepted artwork appears in the appropriate collections on your website.

Submission Policies

You choose a submission policy that matches how your group operates:

  • Closed: No submissions accepted. Use this when you want to pause submissions temporarily or manage artwork uploads yourself.
  • Open (auto-accept): Submitted artwork goes live automatically. Good for groups where all members are trusted to curate their own contributions.
  • Juried: Submitted artwork waits for admin review. Best for groups that want editorial control over what appears on the website.

You set the default policy in Settings and can override it per collection.

Auto-select and juried curation serve different needs:

You can also mix approaches: auto-select artwork from some members while requiring review from others. See Configuring Submission Rules for details.

The Submission Pool

All submitted artwork lives in the submission pool until it is accepted or rejected. The pool is visible to admins in the Submissions section of the dashboard. Think of it as your inbox for incoming artwork.

Artists can withdraw their own submissions at any time before they are accepted. Once accepted, the artwork is part of the website's collections and the artist can still withdraw it if needed.
